Anthem Systems ("we", "us") respects your privacy and processes personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA). This page explains what we collect, why, and what your rights are.

When you send an enquiry through the form on this website, submit a Meta (Facebook or Instagram) lead form, book a Discovery Call, email us or message us on WhatsApp, we collect the details you give us: your name, email address, phone or WhatsApp number, business name, what you want help with, and your call time. We also collect basic website usage data (pages visited, device type) through analytics and advertising tools, and only when those tools are switched on.
We use your information to reply to your enquiry, book and remind you about your Discovery Call, prepare a proposal, deliver work you have paid for, and follow up about your enquiry. By submitting a form or booking a call, you agree that Anthem Systems may email you, and contact you by phone or WhatsApp, about your enquiry and call. If you message us on WhatsApp, we will reply to you there. You can opt out of emails at any time by replying to any email or emailing us, and you can stop a WhatsApp conversation by telling us.
Our replies, reminders and follow-ups are sent by an automation system. Every automated email says so and carries an opt-out line. If you opt out, we stop all automated messages to you.
We do not sell your information. We use trusted service providers to run our business, who process information on our behalf: Google (email, calendar and booking), Meta (lead forms, advertising and WhatsApp), Airtable (our customer records), Make (workflow automation) and Netlify (website hosting and the enquiry form on this website). Some of these providers store data outside South Africa. We choose providers that protect information to a standard comparable to POPIA.
We keep enquiry information for as long as it is needed to follow up your enquiry and, if you become a client, to deliver and support your work and meet our legal and accounting obligations. If you ask us to delete your information, we will, unless the law requires us to keep it.
Our website may use analytics and advertising pixels (such as Google Analytics and the Meta Pixel) to understand how the site is used and to measure our advertising. You can block these in your browser settings.
You may ask us to tell you what information we hold about you, to correct it, or to delete it, and you may object to our processing of it. Email hello@anthemsystemsai.online and we will respond promptly. If you are unhappy with how we handle your information, you may complain to the Information Regulator of South Africa at inforegulator.org.za.
We may update this policy. The date at the top shows when it last changed.
